CyberGate Notifications - in depth
CyberGate sends notifications about your own environment and about the service itself: a device that drops off the network, a subscription that is about to expire, the occasional request for feedback. This page describes every notification category — what triggers it, who receives it, and what you can switch off.
Adding and editing contacts and Teams channels is described in the Notifications section of the CyberGate Management PortalCyberGate Management Portal document. This page is about what those recipients will actually receive.
How notifications are delivered
There are two delivery channels, both configured under Administration - Notifications:
Channel | Description |
|---|---|
Sent to the contacts on the Contacts tab. A maximum of 5 contacts can be added. | |
Microsoft Teams | Posted as a card in a channel, through the webhook configured on the Teams Channels tab. |
Both are set per category: a contact or channel only receives the categories that are ticked for it. If nobody is subscribed to a category, nothing is sent for that category at all.
Category | What it is about | Teams | |
|---|---|---|---|
Tech | Service disruptions and information about new features | Yes | No |
License | Subscriptions that are about to expire | Yes | Yes |
Device | Devices that go offline or come back online | Yes | Yes |
News | Product and company news (might contain marketing) | Yes | No |
Survey | Requests for feedback | Yes | Yes |
Each contact must keep at least one category ticked; to stop all email for someone, delete the contact.
Secure Messages
A contact can be marked as Secure Messages. Notifications to that contact then leave out the details — the list of devices, the list of subscriptions — and only state the numbers, with a link to the management portal for the rest.
Use this for recipients who should be warned but should not have your device names, locations or subscription details sitting in their mailbox.
Unsubscribing
Every notification email ends with an unsubscribe link. It applies to the category of that specific email: a recipient who unsubscribes from a License mail keeps receiving Device alerts. No portal access is needed for this, so a recipient can drop a category without the administrator being involved.
An unsubscribe is recorded in the Audit trail as Unsubscribed from email preference, including the contact and the category. If someone stops receiving notifications unexpectedly, look there first. An administrator can switch the category back on in the contact's settings.
Requirements
Notifications are only sent for tenants where admin consent for CyberGate has been granted, under Basic - Global.
Tech
Alerts about service disruptions and information about new features. Email only.
These are sent by CyberTwice when there is something to report, so there is no schedule. This is the category to keep enabled for at least one administrator: it is how you hear about a disruption that affects your environment.
License
CyberGate checks once a day whether any of your subscriptions is about to expire, and sends two levels of message: a reminder well ahead of time, and a final reminder shortly before access ends. The moment depends on the billing term of the subscription.
Billing term | Reminder | Final reminder |
|---|---|---|
Monthly | 15 days before expiry | 3 days before expiry |
Yearly | 35 days before expiry | 20 days before expiry |
Subscriptions with Auto-Renew switched on are skipped entirely — no reminder and no final reminder. Receiving no expiry mail for a subscription is therefore the normal, healthy situation. See How to Auto-Renew a SubscriptionHow to Auto-Renew a Subscription.
The message states how many days remain and the exact expiry date, lists the affected subscriptions with their plan and number of licenses, and contains a button to arrange auto-renewal in the portal. The final reminder spells out the consequence: when the subscription expires, the devices can no longer reach Microsoft Teams.
Each message is sent once per recipient — the daily check does not produce a daily mail for the same subscription.
Device
CyberGate reports devices that stop reporting in and devices that come back. This is the category to watch for intercoms that fall over: a device that loses power or is cut off by a network change shows up here instead of during the next visitor's call.
Devices are monitored individually: the Notifications Enabled switch on the device decides whether it is included.
The device status notification is described in full in CyberGate Device NotificationsCyberGate Device Notifications: how CyberGate determines online and offline, what the alert contains, and how to set it up.
News
News and updates about the product and the company. May contain marketing. Email only, and sent by CyberTwice without a fixed schedule.
This is the category to untick for a shared technical mailbox that should only receive operational messages.
Survey
Occasional requests for feedback. Each survey is sent at most once per recipient:
Welcome | Shortly after your CyberGate environment is created. |
|---|---|
First experience | A few weeks after your environment is created. |
Half-year review | Twice a year, and only for environments that are actually handling calls. |
Closing | After all CyberGate subscriptions have ended. |
Untick Survey for a contact to stop these without affecting the operational categories.
What is not sent as a notification
The Call log and the Audit trail are not pushed to you: they are recorded in the portal and you look them up there when needed. The same goes for the live status of a device, the coloured dot on the Basic - Devices page always shows the current state, whether or not notifications are enabled for that device.
